Epic Moments Terms and Conditions


1. YOUR CONTRACT WITH US

Before placing any orders, please read these Terms and Conditions carefully. In this document, references to "we", "us", "our" or "Company" refer to Epic Moments. References to "you" or "your" refer to the customer who places a booking with us for stag and/or hen events ("Service").

To secure a booking, a non-refundable deposit is required. The person placing the booking becomes the "Group Leader" and agrees to these terms on behalf of the group. A booking is confirmed when we issue a Proposal outlining the package and pricing, and you accept it in writing. Once the deposit is received, we will issue two invoices—one for the deposit and one for the remaining balance. The contract becomes binding once we acknowledge your deposit.


2. PROPOSALS

All Proposals are valid for 14 days from the date of issue unless a shorter timescale is specified. If not accepted in writing within this period, the Proposal is deemed withdrawn.


3. SCHEDULING

By accepting a Proposal, you confirm agreement to the proposed schedule. Failure to adhere to scheduled timings may lead to shortened activities or refused entry.


4. CHANGES

Changes by You: You may make changes to your booking up to 28 days before the event free of charge. This includes:

  • Date or time
  • Entertainment or activity
  • Group size

Change requests within 28 days incur a £25 admin fee and any additional supplier costs. Changes are subject to availability and not guaranteed.

Changes by Us: If we must make changes due to illness, travel issues, weather, or other unforeseen events, we will offer suitable alternatives or a refund for the affected service.


5. CANCELLATION OF YOUR BOOKING OR REDUCTION IN NUMBERS

The deposit/booking fee is non-refundable.

  • Cancellations within 28 days: Deposit is non-refundable.
  • Within 7 days: 50% of the service cost is payable.
  • Within 2 days: 100% of the service cost is payable.

Fees cover entertainer inconvenience and loss of potential bookings. A £25 admin fee may apply. We will try to resell cancelled services to reduce your liability.

If we’ve provided two or more entertainer options and you choose to cancel, cancellation fees still apply.

In cases where we cannot fulfil your booking and you decline alternatives, a full refund will be issued. No refunds are available after full payment if individual guests cancel. Bookings may be cancelled due to health risks, war, terrorism, or other force majeure events. A full refund or credit will be issued accordingly.


6. PRICE AND PAYMENT

Deposits are due at booking via our website or over the telephone. Full prices are confirmed during booking and subject to change only for external cost increases or tax rate changes. You have the right to cancel if unhappy with an increase.

Payment:

  1. Deposit online or over the telephone
  2. Remaining balance via bank or to entertainer on the day (as advised)

Failure to pay in time will result in cancellation and forfeiture of the deposit.

Payment Defaults: If our entertainer arrives and payment isn’t made, Epic Moments will automatically charge the card used for the deposit.

Additional Services Clause: If additional services are rendered during the event and payment fails (e.g., transfer error), Epic Moments reserves the right to auto-charge the lead booker’s original card. The lead booker has 7 calendar days to resolve the issue or provide valid evidence. If not resolved or disputed with sufficient evidence, we will pay the entertainer directly and the lead booker is responsible for reimbursement within their group.


7. YOUR OBLIGATIONS

Behaviour: The Group Leader is responsible for the behaviour of the group. Unacceptable conduct may result in termination of services without refund.

Health: Inform us of any health issues that may affect participation. Excessive alcohol or drug use may result in denied entry or participation.


8. OUR OBLIGATIONS

We are not liable for service failures due to your actions or third-party interference. If issues arise, notify the service provider on the day and us within 7 days for investigation.

You participate at your own risk. Some activities require waiver forms. We are not responsible for issues arising from unbooked or independent activities.


9. LIABILITY

We are only liable for foreseeable losses caused by our negligence. This does not limit liability for personal injury or death due to our negligence or fraud.


10. COMPLAINTS

Issues must be raised with the entertainer or supplier on the day. Further complaints must be sent to us with supporting evidence within 7 days. Delays may impact our ability to investigate. We aim to reply within 28 days.


11. DAMAGE TO EQUIPMENT

If damage occurs due to you or your group, you will be liable for associated costs.


12. GENERAL

UK law applies to this contract. Any disputes are subject to the jurisdiction of UK courts. For consumer rights, consult Citizens Advice or Trading Standards.


13. FORCE MAJEURE

In events such as war, terrorism, government action, plagues or epidemics, bookings will be converted to a credit note with no expiry date.


14. VIRTUAL ENTERTAINMENT

The entertainer will contact the customer on the day of the booking. Recordings are not permitted unless agreed in advance. Unauthorised sharing of recordings may result in legal action.
