Drag Entertainer Terms & Conditions

Please read the following Terms & Conditions before booking a drag entertainer through Epic Moments UK. These terms explain our £80 booking deposit, cancellation policy, entertainer allocation, payment terms, venue requirements, safety rules and other important booking information.

By placing a booking with Epic Moments UK, you agree to the Terms & Conditions below.

BOOKINGS & DEPOSITS

All bookings require an £80 booking fee/deposit to secure your entertainment.

Your booking fee/deposit covers the time, administration and resources involved in processing your booking, advertising the job where required, sourcing suitable entertainers, checking availability and coordinating your entertainment.

Where the booking is made more than 28 days before the event, the booking fee/deposit may initially remain refundable until we begin actively sourcing or allocating entertainers.

The booking fee/deposit becomes non-refundable if:

• Your event is 28 days or less away; or

• We have already sent your job details to entertainers and begun the sourcing process; or

• We have provided you with two or more suitable and available entertainer options to consider.

Certain bookings, including Ladies Nights, drag acts, shows requiring several performers, unusual requests and bookings in rural or difficult-to-cover locations, may require us to begin sourcing entertainers considerably earlier than 28 days before the event.

Where this happens, your booking fee/deposit may become non-refundable once that work has begun because administrative and sourcing services have already been provided.

If only one entertainer is available and you are unhappy with that option, you may request a refund of your booking fee/deposit within 48 hours of us notifying you, provided no alternative arrangement has subsequently been agreed.

If we are unable to provide any suitable entertainer for your booking and you do not wish to proceed with an alternative arrangement or additional travel costs, your booking fee/deposit will be refunded.

Any additional non-refundable sourcing or selection service purchased separately will remain non-refundable once that service has begun.

ENTERTAINER SOURCING & SELECTION

Epic Moments UK works with independent entertainers throughout the UK.

Availability varies according to date, location, performance type, travel requirements and individual entertainer availability.

Where entertainer selection forms part of your booking, we will aim to provide a reasonable selection of suitable available entertainers.

A reasonable selection will normally mean two or more available options.

If we provide two or more suitable entertainers and you choose not to proceed with any of them, this will be treated as a customer cancellation and our standard cancellation terms will apply.

Where you provide preferred entertainer names, appearance preferences or other requests, we will try to accommodate them but cannot guarantee that a specific entertainer will be available unless this has been expressly confirmed.

Photographs are provided to help with selection where applicable, but appearance, styling, hair, costumes and presentation may vary from photographs.

CUSTOMER CANCELLATIONS

If you need to cancel your booking, please notify Epic Moments UK as soon as possible in writing.

The date and time we receive your cancellation will determine which cancellation terms apply.

More than 28 days before the event

If we have not yet begun sourcing entertainers or carrying out substantial work relating to your booking, your £80 booking fee/deposit may be refundable.

If sourcing has already begun, a job post has been sent to entertainers, or we have already provided suitable entertainer options, the booking fee/deposit will be non-refundable.

28 days or less before the event

Your £80 booking fee/deposit is non-refundable.

More than 7 days before the event

No additional entertainer inconvenience payment is normally due, although your booking fee/deposit and any other non-refundable charges already incurred remain payable.

3–7 days before the event

50% of the total booked service price is payable as a cancellation charge.

This charge reflects, among other things, the fact that entertainers and staff have reserved the date and time for your booking and may have declined other paid work.

2 days or less before the event

100% of the total booked service price is payable.

The 100% cancellation charge replaces the 50% cancellation charge and is not charged in addition to it.

The same cancellation terms apply if you have been provided with a reasonable selection of suitable entertainers and subsequently decide to cancel your booking.

Any sums already paid will be taken into account when calculating the remaining amount due. We will not charge twice for the same loss.

ADDITIONAL COSTS FOLLOWING CANCELLATION

Depending on the circumstances of the cancellation, you may also be liable for reasonable additional costs already incurred by Epic Moments UK in connection with your booking.

This may include:

• An administration fee of up to £25 where additional cancellation or rearrangement work is required.

• Non-refundable costs already incurred on your behalf.

• Reasonable additional administration costs.

• Reasonable and foreseeable loss suffered as a direct result of the cancellation, including loss of profit where applicable.

We will take reasonable steps to reduce our losses where possible, including attempting to resell the entertainer's availability.

Any amount successfully recovered through a replacement booking may be taken into account when assessing the reasonable cancellation amount due.

These provisions are not intended to allow Epic Moments UK to recover the same loss twice.

CHANGES TO YOUR BOOKING

If you need to change the date, time, venue, location or requirements of your booking, please contact us as soon as possible.

Changes are subject to entertainer availability and cannot always be guaranteed.

A change requested close to the event date may be treated as a cancellation of the original booking if the entertainer cannot accommodate the new arrangements.

Additional travel, accommodation, administration or entertainer charges may also apply.

Where a booking has already required substantial sourcing work, changing the date does not automatically make the original booking fee/deposit refundable.

ENTERTAINERS BOOKED

Once an entertainer has been allocated and confirmed, their details will be included in your booking information where appropriate.

If you are unhappy with an entertainer upon arrival, you must raise this immediately before the agreed service begins.

Once the entertainer has started the agreed service, performance or hosting period, the service will be considered to have commenced.

Concerns arising during the booking should be raised with the entertainer at the time wherever reasonably possible.

Epic Moments UK cannot normally recover money already paid directly to an entertainer once a service has taken place.

ENTERTAINER CANCELLATION

Entertainers work independently and, although cancellations are uncommon, circumstances such as illness, emergencies, transport disruption or other unforeseen events can occasionally prevent an entertainer from attending.

If a confirmed entertainer cancels, Epic Moments UK will make reasonable efforts to arrange suitable replacement cover.

Where a suitable replacement is available, we may offer that entertainer to you in place of the original performer.

We cannot guarantee that a replacement entertainer will have exactly the same appearance, costume, style or characteristics as the original entertainer.

If we are ultimately unable to provide an entertainer or agreed service, and no suitable replacement arrangement is accepted, any applicable refund will be discussed with you.

Where Epic Moments UK is unable to provide any entertainer for the agreed service, your £80 booking fee/deposit will be refunded unless another arrangement has been agreed with you.

We may provide relevant communication records if reasonably required when investigating an entertainer cancellation or non-attendance.

PAYMENT OF THE ENTERTAINER

For many Epic Moments UK services, the £80 booking fee/deposit is paid to Epic Moments UK and the remaining entertainer fee is paid directly to the entertainer on the day.

Your booking confirmation will explain how the remaining balance is payable.

Where payment is due directly to the entertainer, please ensure the correct amount is available at the agreed time.

Some services may instead require advance payment or automatic collection of the balance. Where this applies, it will be stated during the booking process or in your confirmation.

You must not reduce, withhold or refuse an entertainer's agreed payment after the service has started without first raising the matter with the entertainer and, where possible, Epic Moments UK.

GRIEVANCE & COMPLAINTS POLICY

If you have a concern during your booking, please raise it with the entertainer immediately wherever reasonably possible.

This gives them the opportunity to resolve the issue while the booking is still taking place.

Epic Moments UK may not always be contactable outside normal working hours.

Complaints made after the event will be investigated where appropriate, but you may be asked to provide supporting evidence.

This may include:

• Messages or screenshots.

• Photographs or video where lawfully obtained.

• Written confirmation from the venue.

• Witness information.

• Communication with the entertainer.

We cannot guarantee that we will be able to resolve disputes relating to issues which were not raised during the booking where the entertainer was given no opportunity to correct the problem.

Serious matters such as non-attendance, threatening behaviour or significant breaches of the agreed service should be reported to Epic Moments UK as soon as reasonably possible.

TIME MANAGEMENT

Entertainers aim to arrive in sufficient time to prepare for your booking.

For many services, this may be approximately 10–15 minutes before the agreed start time, although arrival requirements vary depending on the type of entertainment.

Traffic, previous bookings, public transport disruption and other circumstances can occasionally cause delays.

If an entertainer arrives late and is available afterwards, they should make reasonable efforts to provide the full agreed booking time.

Where this is not possible, an appropriate adjustment may be agreed depending upon the circumstances.

If your group, venue or nominated contact is late or not ready at the agreed start time, the entertainer is not normally required to remain beyond the original scheduled finish time.

The full agreed fee remains payable where the entertainer was available and ready to perform at the contracted time.

Extensions are subject to entertainer availability and may incur additional charges.

PROPS, COSTUMES & PRODUCTS

Entertainers may use costumes, props, music, performance equipment, party products or other items appropriate to the service booked.

The exact props or costumes used can vary between entertainers unless a specific requirement has been confirmed in writing.

Please tell us in advance about any relevant allergies, accessibility requirements, sensitivities, venue restrictions or other important considerations.

PERFORMER SAFETY & RESPECT

Our entertainers have the right to work in a safe and respectful environment.

If an entertainer feels unsafe, threatened, harassed or seriously disrespected, they may pause or terminate the booking immediately.

Unacceptable behaviour includes, but is not limited to:

• Aggressive or threatening behaviour.

• Unwanted touching.

• Sexual propositions outside the agreed service.

• Deliberately humiliating or abusive behaviour.

• Excessive intoxication causing unsafe behaviour.

• Drug use.

• Violence or threats of violence.

• Deliberately damaging an entertainer's property.

Where a booking is stopped because of serious customer or guest misconduct, no refund will normally be due and the full agreed fee may remain payable.

LIMITATIONS OF SERVICE

All entertainment is provided according to the service description and booking information agreed before the event.

Entertainers are not required to provide anything outside the agreed scope of the booking.

Unless expressly agreed as part of the service, sexual activity or other services outside the advertised entertainment are not included.

Entertainers may refuse any request which they believe is unsafe, illegal, inappropriate or outside the service they agreed to provide.

UNFORESEEN CIRCUMSTANCES

Epic Moments UK and its entertainers will make reasonable efforts to fulfil confirmed bookings.

However, circumstances can arise outside reasonable control, including:

• Serious illness.

• Severe weather.

• Road closures.

• Major transport disruption.

• Accidents.

• Venue closure.

• National emergencies.

• Government restrictions.

• Other exceptional events outside reasonable control.

Where such circumstances affect a booking, we will work with you and the entertainer to find a reasonable solution wherever possible.

Depending on the circumstances, this may include replacement entertainment, rearrangement, a partial refund or a full refund of an affected service.

Amounts relating to services already provided or reasonable costs already incurred may be treated separately where appropriate.

TRAVEL & RURAL LOCATION SURCHARGES

Our advertised prices generally cover major towns, cities and surrounding areas.

Events in rural, remote or difficult-to-access locations may require additional travel costs.

Certain locations may also require accommodation, toll, ferry or other reasonable travel expenses.

Where we identify additional costs before confirming your entertainer, we will notify you.

You may then choose to:

• Accept the revised price and continue with the booking; or

• Decline the additional cost.

If you decline before we have begun sourcing entertainers, your £80 booking fee/deposit may be refunded.

If substantial sourcing work has already been carried out, a job post has been issued or suitable entertainer options have already been provided, the booking fee/deposit may remain non-refundable in accordance with these Terms.

VENUE SUITABILITY

You are responsible for ensuring that your venue permits the entertainment booked.

The venue must also provide a reasonably safe and suitable area in which the entertainer can carry out the agreed service.

Where applicable, you are responsible for obtaining permission from the venue for:

• Adult entertainment.

• Music.

• PA systems.

• Performances.

• Props.

• Equipment.

• Changing facilities.

• Any other relevant activity.

If the entertainment cannot proceed because the venue refuses permission, the space is unsuitable or restrictions were not disclosed to us beforehand, this will normally be treated as a customer-side cancellation and the agreed fee may remain payable.

CHANGING & STORAGE

Where appropriate, please provide entertainers with a clean, private and reasonably secure area in which to change and prepare.

A private room is preferable.

Where no dedicated changing room is available, an accessible private toilet or other suitable space may be acceptable depending upon the service.

If no changing area is available, please notify us or the entertainer beforehand.

Entertainers may arrive ready to perform where appropriate but should still be provided with somewhere reasonably secure to store their personal belongings.

ALCOHOL & SUBSTANCES

Entertainers may choose to join guests for a toast or light drink but must never be pressured to consume alcohol.

Customers and guests must not pressure entertainers to become intoxicated.

Illegal drug use during the booking may result in the entertainer terminating the service where they reasonably believe the situation has become unsafe.

No refund will normally be due where the booking ends because of serious unsafe or unlawful behaviour by the customer or guests.

AGE RESTRICTIONS

Where the booked service is adult entertainment, all persons present during the adult element of the entertainment must be aged 18 or over.

It is the customer's responsibility to ensure that children and persons under 18 are not present during adult performances, hosting or interactive entertainment.

Where a service is specifically advertised and agreed as suitable for a mixed-age event, the entertainer will perform according to the agreed family-friendly or appropriate performance brief.

PHOTO & VIDEO POLICY

Please obtain the entertainer's permission before taking photographs or video of them.

Permission to take photographs does not automatically give permission to publish them online or use them commercially.

Secret, hidden or voyeuristic filming is strictly prohibited.

Any unlawful recording may result in immediate termination of the booking and may be reported to the appropriate authorities.

PARKING

Customers must make reasonable arrangements for entertainers to park close enough to the venue to safely access the booking.

If free parking is not available and paid parking is required, the customer may be required to reimburse the entertainer where this has been agreed or is reasonably necessary for the booking.

Please notify the entertainer in advance about parking restrictions, permits, access codes or difficult venue access.

If the entertainer is specifically instructed by the customer or venue representative to park somewhere which subsequently results in a parking charge or penalty, responsibility for that cost will be considered according to the circumstances.

LIABILITY & SAFETY

The customer is responsible for ensuring that the event venue and performance area are reasonably safe and suitable.

Customers should inform Epic Moments UK and the entertainer of any known hazards or restrictions which could affect the booking.

Entertainers remain responsible for their own professional conduct, performance and equipment.

Epic Moments UK will not be responsible for injury, loss or damage caused by circumstances outside our reasonable control or by the actions of independent entertainers, customers, guests or third parties, except where liability cannot legally be excluded.

Nothing within these Terms is intended to exclude or restrict any liability which cannot lawfully be excluded.

This may include your name, telephone number, venue address and relevant booking information.

Entertainers are instructed to use this information only for purposes connected with completing your booking.

The timing of entertainer contact varies depending upon the type of entertainment.

Your booking confirmation, service description and any additional written arrangements agreed between you and Epic Moments UK also form part of your booking agreement.

Where a specific written agreement relating to your booking differs from a general provision within these Terms, the specific written agreement will normally take priority for that particular booking.
